The Situation
Webb Digital helped mid-size companies implement AI tools. Chatbots, workflow automation, data pipelines. Technical work with high stakes.
The problem was consistency. Some projects ran perfectly. Others dragged on for months. Same team, same types of projects, wildly different outcomes.
Marcus Webb, the CEO, was getting frustrated. Client complaints were increasing. The team was burning out. He couldn't figure out why some projects succeeded and others didn't.
What We Found
We interviewed every project manager and reviewed the last 20 projects. The pattern was clear.
The successful projects had one thing in common: a senior team member who personally imposed structure. They created their own checklists, ran their own standups, and caught problems early.

What We Built
We created a standardized project framework with four phases: Scoping, Build, Testing, and Handoff.
Each phase had clear deliverables, check-in points, and escalation triggers. If something went off track, the system flagged it before the client ever noticed.
We also built templates for every recurring task. Scoping documents, technical specs, client updates, handoff checklists. The team stopped reinventing the wheel on every project.
Finally, we ran two weeks of training to make sure everyone actually used the new system.
The Results
Delivery time dropped by 3x on average. Projects that used to take 12 weeks now took 4.
Client complaints dropped to zero. Not reduced. Zero. For six months straight.
The team reported feeling less stressed. They knew exactly what to do and when. No more guessing.
